As industrial companies look to cut costs, modernize their information systems and gain flexibility, ERP migration projects have become strategic operations with high added value.

At BIZUP, we supported XpertMeca, the official partner of global industrial robotics leader KUKA in Tunisia, on an ambitious project: the complete migration of their Odoo 15 Enterprise environment to Odoo 18 Community.

This was not a simple version upgrade. The project involved a deep transformation of the ERP architecture, the preservation of critical data, operational continuity for the teams, and the smart replacement of several Enterprise features with alternatives suited to the Community edition.

A critical ERP project for a demanding industrial company

XpertMeca operates in an advanced industrial environment, with demanding business processes related to:

  • technical project management
  • field interventions
  • maintenance
  • purchasing
  • inventory management
  • quality
  • internal approvals
  • time tracking
  • collaboration between several operational teams

Their Odoo system was already at the heart of daily operations: any interruption, data loss or functional regression would have had a direct impact on the business.

Why migrate from Odoo Enterprise to Odoo Community?

Many companies choose Odoo Enterprise for its advanced features. Over time, several issues appear:

  • rising licence costs
  • dependence on certain proprietary modules
  • need for greater development flexibility
  • wish to host the solution on controlled infrastructure
  • performance optimization in specific environments

For XpertMeca, moving to Odoo 18 Community was an opportunity to:

  • keep only the features that are really useful
  • replace some Enterprise modules with custom developments
  • build a platform better suited to their operational needs
  • benefit from the technical and ergonomic improvements of Odoo 18

A migration in two strategic phases

  1. Phase 1
Technical upgrade: Odoo 15 EE → Odoo 18 EE

A complete version upgrade of the existing Enterprise environment using Odoo’s official migration tools, to guarantee data compatibility and prepare the switch to Community.

  2. Phase 2
Transformation: Odoo 18 EE → Odoo 18 Community

Once the environment was stabilized, the move to a 100% Community environment, with alternatives developed for Enterprise modules and the related data migrated.

Phase 1: the critical operations

Database migration. The database held several years of history: projects, tasks, purchases, inventory, interventions, approvals, time entries, documents, internal workflows. Data integrity was an absolute priority.

Updating third-party and custom modules. XpertMeca used several third-party modules and specific developments. We analyzed technical dependencies, adapted the modules to Odoo 18, fixed incompatibilities and preserved the existing business logic.

A real software engineering effort, because some modules depended directly on Enterprise features that would disappear in the Community edition. To learn more about our migrations, see our Odoo Migration page.

Phase 2: alternatives to Enterprise modules

Several Enterprise modules used by XpertMeca were essential to their daily operations:

  • Planning
  • Quality
  • Approvals
  • Field service
  • Document management
  • Appraisals
  • Helpdesk

To keep these workflows in Odoo Community, our team developed and adapted specific alternatives. The goal was not to “copy” Enterprise features, but to:

  • preserve the user experience
  • respect the client’s internal processes
  • optimize performance
  • reduce future dependencies

The main challenge: migrating the data

One of the most complex aspects was migrating functional data between the Enterprise modules and their Community alternatives. It required:

  • specific adaptation scripts
  • data mappings
  • structure corrections
  • functional validations
  • continuous testing with users

Some data had to be restructured, converted, reinterpreted or merged with new business logic. This groundwork is often invisible to end users, but it makes the difference between a migration that succeeds and one that is merely endured.

A methodology built around stability

At BIZUP, an ERP project is never treated as a simple technical operation. We applied our methodology progressively:

  • staging environments
  • user testing phases
  • intermediate validations
  • continuous fixes
  • team support
  • preparation of the final Go-Live

This allowed XpertMeca to test the new workflows step by step, identify the necessary adjustments and secure operations before going into production.

Close collaboration with the XpertMeca teams

The success of an ERP project depends as much on technology as on human collaboration. The XpertMeca teams played an essential role:

  • feeding back business needs
  • functional testing
  • workflow validation
  • prioritizing critical points
  • supporting internal users

This collaboration made it possible to move fast despite the project’s complexity. We thank XpertMeca’s management and all its teams for their trust and involvement.

The benefits

Thanks to this migration, XpertMeca now benefits from:

  • a modernized Odoo environment
  • better cost control
  • a more flexible infrastructure
  • workflows adapted to their real needs
  • a platform that can evolve for years to come

Odoo 18 also brings better ergonomics, improved performance, a smoother user experience and a more recent technical architecture.

What this project means for BIZUP

Migrating an Odoo Enterprise environment to Community while keeping the data and adapting the workflows demands a high level of expertise: functional, technical, methodological and organizational. It takes in-depth knowledge of Odoo, an understanding of business processes, advanced development skills and strong analytical ability.

A successful ERP migration is not about changing version: it must improve stability, optimize performance, protect strategic data and support the company’s growth. Find this project in our references.

A big thank you to the whole BIZUP team for the commitment, rigor and many hours invested in this ambitious project. Thanks also to the whole XpertMeca team and its founders for their trust in this strategic project.

Frequently asked questions

Can you migrate from Odoo Enterprise to Community without losing data?

Yes. At XpertMeca the database held several years of history (projects, purchases, inventory, interventions, approvals, time entries). It was preserved through adaptation scripts, data mappings, structure corrections and continuous validation with users.

What happens to Enterprise-only features?

They have to be replaced. For XpertMeca we developed alternatives for planning, quality, approvals, field service, document management, appraisals and helpdesk, while keeping the user experience.

Why migrate in two phases?

The first phase upgrades the Enterprise environment with Odoo’s official tools, which guarantees data compatibility. The second, once the environment is stable, switches to Community.

How is business continuity protected?

Through staging environments, user testing, intermediate validations, continuous fixes and careful preparation of the Go-Live.

HOW TO MOVE TO A HIGHER VERSION WITHOUT RISK?
Audit, testing, switch: the 8 steps of a controlled Odoo migration.
